AGAP2IT Develops Digital Solutions for Condominium Management

The DXS area of the agap2IT consultancy has implemented virtual solutions to guarantee the condominium administration and management processes of DigitalCondominium powered by BEHOME. Platforms and applications allow remote contact and the security and validation of information and documentation.

 agap2IT's Digital eXperience Solutions (DXS) area was responsible for virtualizing DigitalCondominium's telephone answering system powered by BEHOME. The solution implemented aims to enable the company that provides condominium administration and management services to adapt to a new reality, taking the opportunity to strengthen its internal working mechanisms, making them more efficient and effective.

As João Pedro Costa, Solutions Manager for agap2IT's DXS area, explains, "The context of the pandemic crisis we are experiencing has presented all managers with increased challenges on how to keep their businesses in good health. These times require a rapid change in processes to be supported by digital platforms, coupled with increasingly remote participation, forcing digital transformation. The stigmas of the perception of restricted technological status or of simply being a goal to be achieved in the medium term have been abandoned, in favor of an accelerated, urgent and forced adoption of tools and subscription to services. This rapid need for transition could have been avoided with the earlier and less pressured implementation of digital mechanisms and tools, thus avoiding the accentuation of problems in the democratization of technology or the fight against info-exclusion. It is now important to implement with quality and ensure that no one is left behind."

Maria Rosário da Costa, General Manager of DigitalCondominium powered by BEHOME, also points out the importance of implementing this solution: "I recognize that the competence, pragmatism and dynamism of DXS powered by agap2IT allowed an effective and efficient response to the problem we had, and guaranteed a correct transition to remote work, thus providing the safety of our workers and compliance with legal guidelines."

The consultancy focused on licensing Microsoft Office 365 from DigitalCondominium powered by BEHOME, and on the processes set up to ensure that information could be accessed and manipulated, even remotely. The problem of accessing and centralizing information was guaranteed with the use of the Microsoft Onedrive product for each employee, as well as the use of Sharepoint Online for the company's general information and documentation repository and associated approval flows.

Together with DigitalCondominium powered by BEHOME, DXS also identified the need to implement a technical mechanism that would allow Condominium Meetings to be held in compliance with the law and the recommendations of the DGS, for example with regard to the maximum number of people per 100m2.

Having confirmed the possibility of holding the Meetings in mixed venues, which would allow all the owners to participate in the same Meeting simultaneously, the Microsoft Teams platform was used to guarantee the possibility of video conferencing and telephone answering.

The possibility of attending a meeting remotely raised the need to provide proof of each owner's presence in the form of a signature. To this end, integration was implemented with the entity's existing condominium management application, the DocuSign® platform, which is responsible for signing documents electronically. As a result, any condominium owner present remotely now receives an electronic signature request in their e-mail, guaranteeing their participation in a secure manner and also promoting availability and adherence.
